Start with the reason
Explain why you are considering the project now. Perhaps your household has changed, a room feels inconvenient or you want to explore extra living space. For an ADU or addition, describe the intended use without assuming a particular layout has already been approved.
Share the practical context
Gather photographs of the relevant space, existing drawings if you have them, and a list of the people who should be involved in decisions. Avoid including private information that is not needed for the project discussion.
Talk openly about priorities
Discuss a comfortable budget range and the parts of the project that matter most. If you are unsure, say so. Ask what information is needed before a meaningful proposal can be prepared, rather than treating an early conversation as a final price.
Clarify communication
Ask who your contact will be, where questions should go and how a change in scope would be recorded. Decide how your household will review choices before sending feedback. A single, organized list of questions is often easier to discuss than several disconnected messages.
Confirm the next step
Before the conversation ends, summarize what was discussed, what remains uncertain and who will follow up. Distinguish a requested date from an agreed appointment. Keep the summary with your reference images and notes so you can return to it later.
